The Trade Receivable Standards Board (TRSB) is a charitable foundation (Stichting) registered under Dutch law, with its registered office at Keizersgracht 62, 1015 CS Amsterdam, The Netherlands. 2. What data we collect and why

Contact enquiries

When you send us an enquiry by email or through the contact form, we collect your name, email address, organisation (if provided), and the content of your message. We use this information solely to respond to your enquiry and to maintain a record of correspondence.

Newsletter and updates

If you subscribe to TRSB updates, we collect your name and email address. You may unsubscribe at any time by clicking the unsubscribe link in any communication or by emailing info@trsb.org.

Committee and standards participation

If you register to participate in a TRSB standing committee or standards consultation, we collect your name, organisation, role, and contact details. This information is used to administer your participation and to publish participant lists in committee minutes where required by our governance rules.

Website server logs

Our web hosting provider automatically records standard server log information including your IP address, browser type, pages visited, and timestamps. This is used solely for security and technical administration and is not used to identify individual visitors.

3. Legal basis for processing

  • Legitimate interests — responding to enquiries, administering committee participation, and maintaining server security logs.
  • Consent — sending newsletters and standards update communications. You may withdraw consent at any time.
  • Legal obligation — retaining records of governance proceedings where required by Dutch foundation law.

4. How long we keep your data

  • Contact enquiry correspondence: 3 years from last contact.
  • Newsletter subscriptions: until you unsubscribe, plus 1 year for suppression list purposes.
  • Committee participation records: 10 years, consistent with our governance obligations under Dutch law.
  • Server logs: 90 days, then automatically deleted.

5. Who we share your data with

The TRSB does not sell, rent, or trade personal data. We share data only with our hosting and email service providers (who process data solely on our behalf under data processing agreements), other committee participants where governance rules require publication of attendance, and legal or regulatory authorities where required by applicable law.

6. International transfers

Our hosting infrastructure is located within the European Economic Area. Where any service provider processes data outside the EEA, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the European Commission.

7. Your rights

Under the GDPR, you have the right to access, correct, delete, restrict, or port your personal data, and to object to processing. Contact us at secretariat@trsb.org. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
